Online booking and websites for medical practices
Agilido builds online booking and websites for medical, dental, therapy and physiotherapy practices. Patients book, reschedule and cancel appointments themselves, the phone line frees up, and your patients’ data stays on servers in the EU.
Sound familiar?
If you recognise yourself in any of these, a conversation is worth having.
- The phone rings during treatment, and reception barely gets to anything else for all the appointment requests.
- Appointments fall through without notice, and the gap cannot be filled at such short notice.
- Patients find neither free slots on your website nor the answers they ask for most often.
- You pay a booking portal every month and do not know exactly where your patients’ data is stored.
What matters
Health data
Even an appointment at a medical or therapy practice generally counts as health data and is specially protected under Art. 9 GDPR. That is why the booking only asks for what the appointment needs, transfers data encrypted and stores it on servers in the EU.
Advertising rules for health professions
Practice websites are subject to the German Therapeutic Products Advertising Act and your chamber’s professional code. Promises of healing, for example, are not allowed. Responsibility for the content stays with you; while building the site we point out passages you should have checked.
Accessibility
Anyone who lets patients book online has generally been covered by the BFSG since 28 June 2025. Many practices are exempt as micro-enterprises with fewer than ten staff and at most €2m annual turnover or balance sheet total. We still build to WCAG 2.2 AA, because older patients in particular benefit.
Example: what online booking for a physiotherapy practice can look like
A typical flow, not a client project. We adapt the rules to your business.
-
The patient chooses the treatment, such as physiotherapy or manual therapy, and only sees the slots that are actually free for it.
-
They enter their name and contact details and can upload their prescription as a photo in advance.
-
They get an instant confirmation and a reminder by email or text message before the appointment.
-
Using a link in the reminder they reschedule or cancel themselves, and the slot becomes free again.
-
At the practice everything appears in the calendar without anyone retyping anything.
Medical practices: frequently asked questions
For many practices, yes, and then we do not advise against it. A portal is set up quickly and sometimes brings new patients. In return you pay monthly, your patients’ data sits with the provider, and your rules have to fit its grid. A booking system of your own pays off if you have special rules, such as treatment series, preparation times or slots for existing patients only, or if you want to keep the data in your own hands. In the free initial consultation we go through both options for your practice.
The booking only asks for the details the appointment needs, usually name, contact and type of treatment. The connection is encrypted, the data sits on servers in the EU with a provider bound by a data processing agreement, and only your practice has access. We use the data for nothing beyond running the system. Uploaded documents such as prescriptions can be deleted automatically after a period you set yourself.
It helps in two places. Automatic reminders by email or text message bring the appointment back to mind shortly before. And cancelling by link is so easy that patients actually cancel instead of simply not turning up. The freed slot can then be booked again straight away. How strong the effect is in your practice depends on your patients and your treatments. That is why we do not quote a blanket figure but look at your current situation in the initial consultation.
